Help Exporting and Printing Your Resource Search Results Into Excel

Here a few tips to help you with Excel after running a Resource Directory search with your desired qualifications (it may help you to print this page to refer to):

1) Click on the “Export Your Search” link from the bottom of your search results.

2) Choose “Open with Microsoft Excel” and click on “Ok”

3) Your search results will open in an Excel spreadsheet. The number of records will vary by your search qualifications. It will look something like this:

4) Click on the top left box indicated above to highlight all cells of the spreadsheet.

5) From the top menu bar, go to Format > Column > Width > Autofit Selection. This will allow expand the width to make each column visible.

6) Depending on your search results, you may choose to sort your results. To do this, repeat step 4 and then go to the top menu items and choose Data > Sort. From the pop-up menu, click the “Header Row” radio button under “My data range has”. Then choose how you would like to sort your resource list and choose “Ok”

7) Delete any columns that you do not want to print. For instance, if you ran a search for Asotin County in Washington State, you may want to remove the county column and the state column (since they will all be the same). To do this, highlight the entire column you wish to delete by clicking on the letter at the top of the column. For example, clicking on the letter “C” will highlight the entire state row. Go to the top menu bar and choose Edit > Delete (or right click with your mouse and choose “Delete”). Repeat for any other columns you wish to delete. The fewer columns you keep, the bigger and more readable the font will be when printing your results.

8) To print your results, go to the top menu bar and choose File > Page Setup. Click on the “Sheet” tab (it defaults to the “Page Tab”) and under Print, click the box next to “Gridlines”. Now return to the “Page” tab and choose “Landscape” under the Orientation radio button. Under Scaling, choose the “Fit to” radio button and leave it as “1” for width and highlight and delete the “1” under tall so it is blank. Choose “Print” to print your results.
